Appearance
Profile and Preferences
Your profile controls everything about your individual Truetask experience — identity, security, appearance, shortcuts, notifications, language, and active sessions. Every setting here is personal. Nothing you change here affects anyone else.
Opening Your Profile
Click your avatar in the bottom-left corner of the sidebar, then select Profile. Or use the user menu and pick Profile.
Identity
Who you are across the workspace:
| Field | Description |
|---|---|
| Name | Your display name — shown everywhere |
| Username | Unique identifier used in @mentions |
| Your login email | |
| Profile Color | The color of your avatar when no image is set |
| Avatar | Profile picture — JPEG, PNG, SVG, GIF, or WebP |
Changes are visible to other users immediately.
Security
Change your password
- Open Profile → Security
- Enter your current password
- Enter your new password (minimum 8 characters)
- Confirm it and click Update Password
You'll need to sign in again on other devices after changing your password.
Appearance
Light, dark, or system
Three modes:
- Light — light background, dark text
- Dark — dark background, light text
- System — matches your operating system preference
You can toggle this from the profile or directly from the user menu at the bottom of the sidebar.
Color theme
Pick from preset color themes to adjust the accent colors across the interface. Default and Ocean are the current options.
Keyboard Shortcuts
Every keyboard shortcut in Truetask can be remapped.
Default shortcuts
| Action | Default |
|---|---|
| Toggle sidebar | Q |
| Command Palette | Cmd/Ctrl+K |
| New board | Alt+B |
| New folder | Alt+F |
Customize a shortcut
- Open Profile → Shortcuts
- Click the shortcut you want to change
- Press the new key combination
- Done — it's saved automatically
Shortcuts support all modifier keys: Cmd/Ctrl, Alt/Option, Shift. The display adapts to your platform automatically (Mac symbols on macOS, key names on Windows/Linux).
Notifications
Truetask delivers notifications three ways: in-app (the bell icon), browser push, and email. Configure what comes through each channel:
| Category | In-app | Push | |
|---|---|---|---|
| Assignments | ✓ | toggle | toggle |
| Mentions | ✓ | toggle | toggle |
| Due dates | ✓ | toggle | toggle |
| Comments | ✓ | toggle | — |
| System events | ✓ | — | — |
Email requires SMTP configured by your admin. If the email toggles are disabled, contact your admin or see Notifications for the full breakdown.
Language
Truetask supports five languages:
- English
- Spanish (Español)
- French (Français)
- German (Deutsch)
- Portuguese (Português)
Pick your language and the interface updates immediately — no reload required.
AI Preferences
When AI features are enabled globally by your administrator, you can configure per-user preferences:
- Model selection — which AI model to use (OpenAI, Anthropic, Gemini, Ollama, or any compatible endpoint)
- Feature toggles — turn specific AI helpers (auto-describe, auto-checklist, summarize, suggest titles, auto-tag) on or off
See Board Toolbar → AI tab for the full set of AI-powered features.
AI Assistant
The same menu also has AI Assistant — this is where you connect Claude, ChatGPT, and other AI tools to your Truetask boards via MCP. See Connect AI Assistant for the full setup guide.
Active Sessions
See where you're signed in across all your devices:
| Column | Description |
|---|---|
| Current session | Highlighted — the session you're using right now |
| Browser | Identified from the user-agent |
| IP address | The IP the session was opened from |
| Last activity | When that session was last active |
Click Revoke on any session to force-sign-out on that device. Useful if you've lost a laptop or finished on a shared computer.
Tips
- Profile changes (name, avatar, color) are visible to everyone in your workspace immediately
- Keyboard shortcuts sync across every browser and device you sign in from
- If push notifications aren't working, check your browser's site permissions for Truetask
- Revoking your own current session signs you out immediately — use it to quickly lock down if you need to
